1. Data Controller

The data controller responsible for your personal data is Squad Technology SRL, a company registered in Cluj-Napoca, Romania (Trade Register no. J12/5539/2023, Tax ID / CUI 49317363), operating the Praesidia platform. For any data protection questions, contact us at privacy@praesidia.ai.

2. Information We Collect

We collect information you provide directly, such as your name, email address, and account details when you register for the Service. We also collect usage data including log data, device information, and analytics.

3. How We Use Your Information

We use the information to provide, maintain, and improve the Service, to communicate with you about updates and changes, and to protect the security of the platform and its users.

4. Data Sharing

We do not sell your personal information. We share data only with the service providers who help us operate the platform (see our Subprocessor List), or when required by law. Where we act as a processor of your personal data on your behalf, our Data Processing Agreement governs that processing, including sub-processing and international transfers; where personal data leaves the European Economic Area, we rely on the EU Standard Contractual Clauses or another valid transfer mechanism.

5. Data Security

We implement industry-standard security measures to protect your data. However, no method of transmission or storage is 100% secure. We encourage you to use strong passwords and enable available security features. See Security & Compliance for our full control set, and verify your audit trail yourself for how you can independently check the integrity of your compliance records.

6. Data Retention

We retain different categories of data for different periods, tied to why we collect it:

• Account and billing data is retained while your account is active. If you close your account, we delete or anonymize this data within 30 days, except where we must keep it longer to meet tax, accounting, or other legal obligations.
• Operational and security logs (for example authentication events and IP addresses) are retained for up to 90 days by default, then deleted or anonymized.
• Your compliance audit trail — the signed record of agent, application, and user actions your organization generates on the platform — is retained for the duration of your subscription and for 12 months after termination, to support your compliance, audit, and legal-evidentiary needs, unless a longer period is required by law or agreed in your contract. You can export and independently verify this record at any time; see verify your audit trail yourself.

You may request deletion of your account and associated data at any time by contacting privacy@praesidia.ai, subject to the retention exceptions above.

7. Security Incident Notification

If we become aware of a security incident that compromises the confidentiality, integrity, or availability of your personal data, we will notify you without undue delay, and in any event within 72 hours of confirming the incident, consistent with our obligations as a data processor under Article 33 GDPR. Our full commitment to business customers is set out in our Data Processing Agreement.

8. Your Rights

Depending on your jurisdiction, you may have rights including access, correction, deletion, and portability of your personal data. To exercise these rights, contact us at privacy@praesidia.ai.
